The assistant is responsible for assisting the attorneys in preparing legal documents and maintaining a schedule. Candidate must be able to keep sensitive information confidential and manage files in a fast-paced office setting. Duties include daily clerical functions required for the efficient operation of the District Attorney’s Office. This would involve the day-to-day administrative tasks of an office, such as answering phone, scheduling appointments, sending faxes and emails, filing documents and greeting those who come into the office with friendliness and professionalism.
Finalize legal documents and service of documents
Draft correspondence and legal documents
Maintain office calendar and manage deadlines
Answer all incoming calls
Manage case files and input information into file database
Operate basic office equipment
Manage outgoing and incoming mail
Collect, enter and deliver documents for filing
Maintain office Law Library
At times make travel arrangements
Candidate must possess:
Strong time management skills and be able to prioritize and multi-task.
Proficient computer skills and familiar with Word and Outlook.
Excellent oral and written communication skills.
The initiative to work independently and at times under pressure.
Be able to pay attention to detail and be well organized
Ability to communicate with many different personalities on a daily basis and effectively able communicate with co-workers.
Minimum of high-school diploma, with an Associate Degree in Business, Legal Assistant or Paralegal field preferred and a minimum of 2 years of experience in administrative support in a legal or law enforcement related environment.
